Supportive Steps provides respite care for children with special needs in Edmonton, Alberta. When you contact us or fill in our intake form, you trust us with information about your child and your family. This policy explains what we collect, why we collect it, where it’s kept, who can see it, and how you can ask to see, correct or delete it.
We follow Alberta’s Personal Information Protection Act (PIPA).
Who this policy covers
This policy covers personal information collected through this website: the intake form, the contact form, and any email you send us through the site. Information you share with us in person, by phone, or in a service agreement is covered by the agreement you sign with us.
What we collect
Through the intake form, a parent or guardian gives us information about themselves and about their child:
- Your name, phone number, email address and home address.
- Your child’s name and date of birth.
- Information about your child’s needs, including any diagnosis or condition you choose to share, strategies that have helped, your child’s strengths and interests, and what you hope to get from our services.
- The services, days and times you’re looking for, and how you’d like your first consultation (phone or video).
- If you choose to upload it, a copy of your FSCD (Family Supports for Children with Disabilities) contract: up to three files, in PDF, JPG or PNG format. This is optional.
Through the contact form, we collect your name, email address, phone number and your message.
We only ask for what we need to understand your family’s situation and arrange care. Questions about diagnosis and the FSCD contract are optional. Please don’t include information we haven’t asked for, such as health card numbers.
Information about a child is provided by their parent or legal guardian. By submitting the intake form, you confirm that you are the child’s parent or guardian, or have their permission to share this information.
Spam protection. To keep automated spam out of our forms, our website uses Cloudflare Turnstile, a security check that looks at technical information such as your IP address and browser to tell people from bots. It doesn’t ask for your personal details and isn’t used for advertising.
Why we collect it
We use your information to:
- review your intake and contact you to arrange a consultation;
- understand your child’s needs so we can plan safe, suitable care;
- confirm funding arrangements with you where FSCD funding applies;
- reply to your questions; and
- keep records we are required to keep.
We don’t sell your information, and we don’t use it for advertising.
Where your information is kept
When you submit a form:
- Your submission is stored on our website, which is hosted on servers run by Hostinger and managed for us by our web provider, Contigo Studio. Stored submissions, including uploaded FSCD contracts, are kept in a private area of the website that the public can’t reach.
- A copy is emailed to us. Form notifications, including any FSCD contract you upload, are sent to our business inbox, which is a Google Gmail account. Our website’s email is sent through an email delivery service (SMTP2Go) so that it arrives reliably.
- You get a confirmation email that we’ve received your form. It doesn’t include any files you uploaded.
- Website backups are made by our hosting provider, and copies are kept in a private Google Drive folder by our web provider, Contigo Studio, so the site can be restored if something goes wrong.
The services we use to run our website and email are Hostinger (website hosting and backups), Google (our email inbox and website backups), SMTP2Go (email delivery) and Cloudflare (form security). Some of them may store or process information outside Alberta or outside Canada. Where that happens, your information may be subject to the laws of that country. We choose providers that protect information with appropriate security, and we only use them to run our website and email.
Who can see it
Your information is seen only by people who need it to arrange and provide your child’s care: the owner and an administrative assistant.
Contigo Studio, which builds and maintains our website, can access the website and its stored submissions when needed to keep the site working and secure. They don’t use your information for any other purpose.
We share your information only with your consent, for example with your FSCD caseworker when arranging funded services, or where the law requires it (for example, if we believe a child is at risk of harm).
How we protect it
We use reasonable safeguards to protect your information, including:
- secure (encrypted) connections for the website and its forms;
- a private, access-controlled storage area for uploaded documents;
- website administrator accounts limited to Supportive Steps and our web provider;
- spam protection on our forms;
- regular security updates, monitoring and backups.
No website or email system is completely secure. If a privacy breach creates a real risk of significant harm, we’ll notify you and Alberta’s Information and Privacy Commissioner as PIPA requires.
How long we keep it
We keep personal information only as long as we need it for the reasons above, or as long as the law requires.
- If your child receives care with us: for one year after care ends.
- If you contact us but don’t go ahead: for one year from your enquiry.
After that, we securely delete it from the website, our email and our backups.
Your rights
You can ask us to:
- see the personal information we hold about you or your child;
- correct anything that’s wrong or out of date;
- delete your information, where we don’t need to keep it for care or legal reasons; or
- withdraw your consent to us using it. We’ll explain what that means for your child’s care before acting on it.
To make a request, contact our owner, Latoya Cumberland, using the details below. We’ll respond within 45 days, as PIPA requires. We may ask you to confirm your identity first, so we don’t share your family’s information with the wrong person.
If you’re not satisfied with how we handle your information, you can contact the Office of the Information and Privacy Commissioner of Alberta (oipc.ab.ca).
Cookies and third-party content
Our website doesn’t use advertising or tracking cookies, and we don’t use analytics tools that track you.
Some pages use services run by other companies:
- Google Maps on our Contact page, which may set Google cookies when the map loads.
- Cloudflare Turnstile, the spam check described above, which runs on our pages to protect our forms.
- Instagram: our website links to our Instagram page. Instagram (Meta) only receives information about you if you follow that link.
These services have their own privacy policies.
Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top shows when it last changed.
